Job Description

Join Stefanini as a Facilities Manager and play a crucial role in organizing and coordinating office operations to ensure organizational efficiency. You will oversee various aspects of facilities management, including contract and vendor management, building maintenance, health and safety, and project management. This position requires both strategic planning and hands-on involvement in day-to-day operations, making it an exciting opportunity for someone with strong leadership skills and technical expertise.

Responsibilities:
  • Oversee day-to-day facilities management, including building and workspace organization, training rooms, travel arrangements, meeting coordination and stock control (water, coffee, office supplies, etc.).
  • Manage relationships with landlords and vendors in Romania, Moldova, Poland, Belgium, and other shared locations in other countries.
  • Coordinate purchases and track deliveries through Purchase Ordering Requests (PORs).
  • Set up greenfield facilities for new expansions or extensions across Europe, ensuring compliance with company standards.
  • Supervise and coordinate maintenance activities and provide technical guidance to subordinate supervisors and employees.
  • Conduct regular inspections and oversee the maintenance and repair of Stefanini vehicles and other equipment, including cabling, air conditioning, UPS, fire suppression systems, and back-up power generators, making necessary contacts to various vendors in order to inquire about information as to availability, best prices and delivery.
  • Make decisions on repairs and assignments based on availability of parts and manpower, prioritizing safety and efficiency.
  • Communicate effectively with service contractors, vendors, and employees, both verbally and in writing.

 
Job Requirements
 

  • Advanced level of English proficiency.
  • Strong negotiation skills for contract and agreement discussions with service contractors and vendors.
  • Ability to prioritize tasks and make informed decisions based on resource availability.
  • Proficiency in developing long-term plans and evaluating work accomplishments.
  • Physical ability to perform light to medium work and supervise subordinate employees.
  • Excellent communication skills, both written and verbal, with the ability to speak effectively before groups of customers and employees.
  • Strong problem-solving skills and the ability to draw valid conclusions from collected data.
  • Ability to develop long-term plans and programs, evaluate work accomplishments, and conduct training programs to promote safe work habits.
