The Information Technology Department at Rollins College is seeking an IT Procurement & Budget Coordinator to join their team!
Primary responsibilities include:
Coordinates all Rollins IT purchasing and assists other campus departments with hardware and software purchases. Serves as Rollins IT purchasing agent; quoting, sourcing, placing, and tracking orders; reviews costs, provides guidance on best price and reviews; prepares final recommendations, obtains appropriate approvals, and proceeds with all purchases that are within scope; ensures all purchases are carried out according to internal policies and budget; provides day-to-day support for requestors, buyers, approvers and accounts payable.
Monitors all contract renewals and assists in processing new and renewing contracts. Assists in preparation and coordination of Requests for Proposal (RFP) and other solicitation documentation, including developing specifications and terms of reference, advertising, distributing solicitation documents and responds to solicitation questions and inquiries.
Analyzes current capabilities and trends and makes informed recommendations on how to improve the purchase of software, equipment and licenses.
Develops schedules and plans requirements for purchasing materials; works closely with internal groups to ensure functional specifications are met, equipment and software is available as needed and product quality is maintained; maintains records and ensures that all agreements (software, license, maintenance) remain current.
Performs Information Technology budget analysis and provides regular reports to the management team and assists in the departmental budget development and forecasting process. Must understand the policies and requirements of the Finance Office for all aspects of accounts payable, budget reallocation.
Responsible for ensuring that all software used at the College is appropriately licensed. Ensures that the College is meeting all of the licensing requirements and that we are purchasing licenses in the most cost-effective manner.
Develops effective and positive relationships with suppliers and vendors based on quality, cost, delivery and responsiveness. Monitors and ensures integrity of list of qualified and reputable IT suppliers and vendors.
Works on diverse projects of small to medium size, scope, and complexity, with guidance from the IT Leadership Team.
Performs related duties as assigned.
Education and Experience Required:
A College degree and a minimum of four years of work experience is preferred.
Experience purchasing computer hardware and managing software licenses is highly desirable.
Effective blend of exceptional customer service skills and IT product knowledge, with a strong desire to keep abreast of new technologies and related products in the computer industry.
Strong analytical skills, including ability to gather and analyze information and develop appropriate recommendations for action.
Possess a broad-based and technical knowledge of IT products including servers, desktops, laptops, firewalls, and software, including software licensing.
Ability to review purchase and service contracts; full understanding of software licensing models and software contract terms; knowledge of asset lifecycle management.
Understand procurement functions & processes and ability to understand contracts including negotiating & redlining contracts.
Understand budget and finance knowledge and skills; developing budget and budget standards, tracking budget, and financial software.
Ability to work both independently and collaboratively in a professional manner with an emphasis on service quality.
Demonstrated ability to work in a team-based environment that places a high degree of emphasis on accountability for customer service levels, inventory management, cost reduction and quality.
Ability to multitask, strong written & verbal communication skills; ability to communicate and coordinate with others on varied and occasionally complex issues in a courteous and professional manner.
Demonstrated ability to work with faculty and staff who have various levels of technical background and understanding.
Ability to handle multiple tasks, set priorities, schedule and meet deadlines.
Strong attention to detail in daily functions and communication in order to effectively develop, compile, and present information.
Proficient in financial software, ERP software, mastery in spreadsheet software.
Knowledge of College environment, departments, procedures, and policies.
