Under the supervision of the COO, the Administrative/Personal Assistant is responsible for performing executive, administrative and business-related tasks such as managing calendars, managing emails, creating written correspondence, creating reports, organizing travel and accommodation, and other tasks. This Employee should have a excellent written and verbal communication skills, a detailed understanding of Microsoft Office, be extremely fast at solving problems and have previous experience as an administrative/personal assistant. This employee must have a clean driving record and valid California driver’s license as they will be running some errands and personal tasks for the CEO. Details:

Primary Responsibilities
          Administrative Assistant 50%:
 
  • Manage mangers expenses and submit monthly in Concur portal
  • Reception duties at our headquarters front desk
  • Answer and direct incoming phone calls
  • Checks mail daily
  • Drop off checks at the post office to send to the lock box
  • Respond to employee inquiries and forward to appropriate contacts when necessary
  • Order and distribute office supplies
  • Order food for company lunches, team meetings and events
  • Stock and clean kitchen daily
  • Ensures front desk and office is kept clean at all times
  • Decorates office for different seasons and holidays
  • Send out birthday and anniversary announcements
  • Provide daily and weekly updates and reports to manager
  • Work with manager to create spreadsheets and presentation information for meetings
  • Prepare the conference room for meetings
 
Executive Assistant 25%:
  • Performs administrative tasks for CEO
  • Runs errands for CEO
  • Coordinate meetings and executives’ schedules as necessary
  • Manage and maintain CEO telephone calls, emails and calendar in Outlook as needed
  • Other administrative tasks as needed
 
Personal Assistant 25%:
  • Pick up dry cleaning for CEO
  • Manage travel arrangements and itineraries for the CEO
  • Make and receive phone calls, send emails, write letters and post social media updates on behalf of the CEO
  • Looking after personal errands as needed
  • Manage expense reports
 
 
Requirements
  • High school diploma
  • At least 2 years of experience as an administrative and or personal assistant
  • Certificate in Secretarial Work is preferred
  • Valid drivers license with clean driving record
  • Strong project management skills
  • Must possess strong computer skills including Windows and Microsoft Office (Word, Excel, PowerPoint and Outlook)
  • Ability to manage multiple tasks at one time, meet deadlines, and coordinate with other team members
  • Prioritizing to ensure deadlines are met
  • Must be detail oriented and have strong organizational, analytical, reasoning, inter-personal communication, problem-solving and conflict resolution skills
  • Ability to work with others in a professional and diplomatic manner
    • Ability to build strong relationships and work collaboratively with internal and external clients
    • Demonstrated ability to function as a strong member of a highly motivated and integrated team
    • Excellent written, verbal, and interpersonal communication skills with an acute ability to listen attentively and to communicate effectively throughout all levels of the organization
    • Excellent follow up skills and demonstrated ability to meet deadlines

Work Environment and Physical Demands
 
The work environment is a typical business office. The employee is frequently required to stand, walk, sit, and can lift and carry up to 20 lbs.
 
Work Schedule
 
Work hours will be determined based on business and client needs but are predominantly scheduled Monday through Friday 8:00am to 5:00pm and at times, could include overtime if necessary. This position will report to our Irvine, CA headquarters.
