Job Description

We are now looking for talented people to make a real contribution to our business as:
 
HR Assistant (1 year-long contract)
 
General responsibilities:
  • Responsible for personnel administration activities;
  • Provide support for full employee life cycle (Hire, Data changes, Termination) by preparing and administrating the HR legal documents for employees (employment contracts, addendums of employment contract, termination decisions, certificates, including document scanning and internal system up-dates);
  • Ensure compliance with Polish legislation and internal policies, follows internal procedure and local legislation requirements;
  • Liaise with HR Generalist and HR Business Partner to ensure legal compliance for all HR related matters;
  • Collaborate with external service providers (payroll company, medical services provider, health and safety company, etc) to ensure compliance for local legal requirements;
  • Organize the mandatory medical check-up and health and safety training;
  • Provide advice and guidance about internal HR policies & procedures and offer support for employees and managers HR queries;
  • Operate the internal HR application: create new hire accounts, process the changes of employment contracts, internal transfers, leave of absence, closing the accounts, offering advice to employees and managers for using the internal HR application;
  • Process PCFs (Personal Change Form) to ensure all documents are following internal procedures and policies;
  • Handle Benefits Administration;
  • Keep track of probation period and centralize probation period review forms;
  • Prepare monthly and ad-hoc reports;
  • Answer to employees’ and managers’ requests including via SSD (Stefanini Service Desk) ticketing service;
  • Manage payroll input process: prepare payroll data for new employees, leavers, changes of employment contacts, bonuses, timesheets verification, sick leaves and transmit all data to finance department/external consultant in due time;
  • Works closely with the rest of the HR team and ensure back-up support during colleagues holiday period for HR Generalist or other HR staff.
 
Job requirements:

  • Ability to keep and maintain confidential and secure records and information;
  • Ability to effectively respond to and interact with all levels of organization staff;
  • Strong oral and written communication skills;
  • Fluent in English, both written and spoken;
  • Ability to work in a fast paced, quickly changing environment;
  • Experience in personnel administration, knowledge of Polish labor legislation and human resources procedures is preferred; preferably 1-3 years of work experience in HR area;
  • Experience with Outlook, MS Word, Excel and PowerPoint.
