Job Description

Since 1987, Stefanini has been providing offshore, onshore and near-shore IT services, including application development, IT infrastructure outsourcing (helpdesk support and desktop services), systems integration, consulting and strategic staffing to enterprises around the world. Due to the constant growth of our services, we are now seeking exceptional individual for a hybrid support for one of our clients in Cracow as a Portfolio Management Specialist.

The Portfolio Management Specialist will play a critical role in managing the financials for a sub function. Key responsibilities will be to work on a monthly basis to manage the Change Logs (CLs) for the function. It is critical for the IT Planning Specialist ensure alignment with available funding and maintaining financial accuracy across various projects. The ideal candidate will work closely with the Portfolio Lead and finance team to monitor budgets, validate financial data, and provide valuable insights to our Leadership Team.
 

Job Responsibilities:

  • Manage the portfolio financial overview on a monthly basis to ensure the budget, approved, actuals and planned spend are always in alignment 
  • Partner with the finance team to validate financial numbers, investigate any discrepancies, and address variations in projected spending. 
  • Manage the quarterly Change Logs (CLs) for contractors based on the available funding, ensuring timely and accurate submissions. 
  • Validate with external stakeholders the number of days employees are expected to work each quarter to align with budgetary constraints. 
  • Compare expected vs. actual labour costs and approve the Change Logs accordingly, ensuring compliance with financial policies. 
  • Collaborate closely with the Portfolio Lead to monitor and manage project budgets on a monthly basis, providing insights and recommendations for adjustments as needed. 
  • Utilize various financial systems to compile and generate comprehensive reports on budget status and projections. 
  • Prepare and present monthly financial updates to the Leadership Team, highlighting key metrics and financial standing. 
  • Identify opportunities to improve internal budget management processes and enhance the accuracy of fund projections. 
  • Streamline the processes for raising Change Logs and managing approvals to increase efficiency and reduce bottlenecks. 
  • Support the team with raising new project funding requests and allocation of resources to support the business case

 
Job Requirements
 

Qualifications:

  • Proven experience in financial management, budgeting, or operations coordination.
  • Exceptional command of English
  • Strong analytical skills with the ability to interpret financial data and generate actionable insights.
  • Proficiency in financial software and reporting tools.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively across teams.
  • Detail-oriented with strong organizational skills and the ability to manage multiple priorities.
  • Problem-solving mindset with a focus on process improvement.
  • MS Excel proficiency
